Keeping VAT records for second-hand vehicle sales

If you use the VAT margin scheme for eligible second-hand vehicles, HMRC requires your usual VAT records, plus a stockbook tracking each vehicle individually and copies of its purchase and sales invoices. Check that each vehicle qualifies for the scheme before using it.

  • Record purchases: keep a unique stock number in numerical sequence, purchase date, purchase invoice reference, seller’s name, vehicle description and purchase price.
  • Record sales: enter the sale date, sales invoice reference, buyer’s name, selling price or method of disposal, margin on the sale and VAT due.
  • Keep supporting invoices: retain purchase invoices and copies of sales invoices, linked to the relevant stockbook entry. Margin-scheme invoices have specific requirements; sales invoices must not show VAT separately and must include the applicable margin-scheme wording.
  • Keep records for the required period: HMRC states that VAT records must normally be kept for six years. For unsold stock bought more than six years ago that you intend to sell under the margin scheme, keep the relevant records until it is sold.
  • Sale-or-return vehicles: record transfer dates, the transferring dealer’s or person’s address, and the date of sale or return. Note transfers to another dealer’s premises in your stock records.

This book can form part of your paper record-keeping routine, alongside invoices and any other records required for your business. The guidance above does not confirm that the book alone meets every VAT or digital record-keeping requirement.

For full requirements and scheme eligibility, refer to HMRC’s VAT margin scheme guidance for second-hand vehicles and margin-scheme record-keeping guidance. Ask your accountant how the rules apply to your business.
